Group Room Blocks must have their Reservations Confirmed by Full Payment no later than 60 days prior to check-in date. Non-payment by due date, will change the discounted room rate to a standard Room rate. The increased Standard Rate will be collected at Check-in.
Cancelled Reservations are NON-REFUNDABLE. Financial obligations per the Group Room Block agreement apply.
Lodging Commitment Agreements: Lodging agreements that are cancelled or terminated by agreement between LLR and the Client/Customer will result in the Client/Customer agrees to forfeit any deposits or funds paid to LLR.
Lodging Dates Changed: If reservations are moved to a different date the check-in and check-out dates will be changed to those new dates. Changes to any check-in or check-out dates MUST have LLR written approval. Clients/Customers will be notified in writing if the requested change in their Lodging dates is authorized.
Lodging Room Block Commitment Agreement changes such as a change the date, Must have LLR written approval. A Group Room Block that changes their Check-in and Check-out date from the Original Lodging Commitment Agreement may have additional fees incurred. Please contact LLR to discuss any changes such as a Date Change or Room Assignment change. Each Group room block delegates and assigns a room, reassignments made 60 days or more to check-in, can be made without any change order fees. However, changes made less than 60 days including on the day of check-in, will incur change order fees and the room rates will not be eligible to any discounted rates, the standard room rate will be collected. Reservations made at Check-in are not discounted, Standard pricing will be charged at Check-in. Some changes made to a reservation may incur a Change Order Fee starting at $185.00 plus credit card fee. Please contact LLR Staff prior to making changes, to limit any additional cost, fees or card charges.
Checking-out or leaving for any reason prior to your scheduled departure date will result in a volunteer cancellation and is non-refundable.

LATE CHECK-IN: Please advise staff if you anticipate an arrival time after 7:00 p.m.a late check-in arrangement must be made prior to your Check-In date. The main office at the Lodge closes at 7:00 pm. There is a $50.00 late check-in fee if arrangements for a late arrival have not been made prior to arrival date.
A solution to not incur a late Check-in fee, is have an Alternative person that you have pre-authorized to Check-in for you. Please notify Staff if you anticipate a late arrival time will be after 7:00 pm so alternative options can be arranged.
LATE CHECK-OUT: Please be advised each room or cabin post Late Check-out fee amounts that will be charged to the credit card on file. Please adhere to your Check-out time so as not to be charged a late check-out fee.
Lodging Restrictions: Sorry, we cannot accommodate pets. NO PETS ALLOWED. Ranch facilities and property has designated outdoor smoking areas. No smoking allowed inside any building, the no smoking policy includes no marijuana or any other drug related substances any where on ranch property whether inside or outside.
Violation of Ranch policies results in a forfeiture of any deposits held under the Room Block agreement and or charges to credit card on file for any repairs, maintenance, or damage cost as a result of said violations.
Please refer to the your Lodging Invoice receipt for additional information and lodging policies that may pertain to your specific lodging arrangement.
GROUP BLOCK POLICIES
Room rates may fluctuate depending on availability and Group Rate Blocks. Specific room requests may be granted based on availability but are never guaranteed. Group blocked rooms may be adjusted according to that groups needs, up to check-in.
Group Block Reservations confirmed
At the time of making a reservation, payment for the requested blocked dates must be paid in Full. Full payment including tax will confirm your reservation. If reservation is not made until your Check in time, only payment by Credit Card or Cash is accepted. Group block reservations are due and payable no later than 60 days prior to arrival date.
Non payment on your due date, will result in your room rate no longer eligible for a group rate discount. The standard room rate will be collected at check-in.
Cancellation of Group Block Reservation
Cancellations for Group Blocked paid reservations are NON-Refundable. Cancellation for any rooms paid for by a guest under the Room Assignment process is NON-Refundable. Exception to a non-refundable policy: No refund is made to an Assigned Guest that paid for their room/cabin UNLESS the financially obligated hosting family pays for the room instead of the guest that was assigned to the room has paid for their room. Checking-out of your reservation prior to your scheduled departure date will result in a volunteer cancellation and is non- refundable. If a Group Block is eligible for a refund of their Deposit, the applicable amount less any expenses or incidentals will be processed within 30 days and paid by check.
Group Block Check-in & Check-out
Some group check-in time begins at 1:00 p.m. or 2:00 p.m. or 3:00 p.m. please verify which check-in time your Group has. Check-out time is 10:00 a.m. on designated check out date. LATE CHECK-IN- Please advise staff if your anticipated arrival time will be after 7:00 p.m. The main office at the Lodge closes at 7:00 therefore a late check -in will need to be arranged. Late Check-In between 7:00 pm – 9:00 pm that have not made previous arrangements will have a $50.00 late fee. Arrivals after 9:00pm MUST have made prior arrangements with a family member or friend to have checked-in for them, and MUST come by the Office the next morning to formalize their stay.
Well-mannered, well-supervised children are always welcome. Sorry, we cannot accommodate pets. NO Pets Allowed. The Buildings on the ranch are 100% smoke-free including any type of smoke devices. Smoking is allowed outdoors in designated areas. However, if a State or County Fire ban exist, smoking outside in not permitted.
The ranch does not offer or have any means for external transportation services. Groups often make private Shuttle service arrangements, rent a vehicle, or make group transportation arrangements. Please contact your hosting family for additional information
Any unclaimed items left on the premise after check-out, will be donated to a local charity within 30 days. Guest requesting to have their personal items returned by mail are responsible for cost to package and mail. LLR is not responsible for any lost or unclaimed items.
Alert*- Guest who opt to hire an U-ber driver do at their own risk. U-ber DOES NOT drop Guest off at the ranch office or at your cabin and U-ber DOES NOT PICK UP guest at the conclusion of their stay.
COVID - 19 POLICIES
All policies and procedure are based on recommended safety policies and procedure issued by CDC, (Center for Disease Control) and State of Colorado Dept of Public Health & Environment (CDPHE)
Below are a list of policies and procedures LLR has adopted as of May 1st, 2020. Policies and procedures are subject to change based on CDC and CDPHE industry recommendations and or requirements. Any guest that elects not to practice any of the below policies, procedures, and industry standards does so assuming their own risk and liability of any outcome not following CDC & CDPHE recommendations and or requirements.
1. Any Lodging Guest assigned to a room is required to check-in and have their temperature taken.
2. Any Lodging Guest that has a temperature over the recommended safety degree will NOT be able to check-in and gain access to a lodging room.
3. All Lodging Guest are encouraged to bring their own sanitizer products for their own use.
4. Each room is cleaned with disinfectant products between each stay, and is furnished with hand soap & shampoo-conditioner, towels & sheets & disposable coffee cups & water glasses.
5. People at high risk of severe illness from COVID-19 are urged not to make a reservation to stay in any lodging room.
6. Any Lodging Guest that has made a reservation, checked-in as required, agrees to avoid gatherings of more than 10 people and to maintain distancing of 6' or more between other guest.
